Outsourced Accounting and Fractional CFO for Small and Mid-Sized Businesses

Accurate numbers within days of month end, owner comp handled properly, and a senior person to call before decisions rather than after.

Who this covers
Owner-operated businesses, Family businesses, Local and regional services, Franchisees, Light manufacturing
Industry accounting and CFO services

A year-end cleanup is not a finance function. If the only time your numbers are accurate is when the return is being prepared, every decision you made during the year was made blind.

We run the accounting function for owner-operated and family businesses that have grown past what a part-time bookkeeper can carry.

Where it breaks

What usually goes wrong

Books that only work at tax time

Numbers assembled once a year for a return can't inform hiring, pricing, or expansion. By the time they're accurate, the decisions are already made.

No view of what's actually profitable

Total revenue and a bank balance don't tell you which service, product, or location earns its keep.

Owner comp mixed into operations

Distributions, payroll, and personal expenses running through the business obscure both real performance and the tax position.

Nobody senior to ask

The questions that matter most — should I hire, can I afford this, what is this business worth — go unanswered.

Our approach

How we run this finance function

We take over the monthly close so numbers are accurate within days of month end, separate owner compensation from operations properly, report profitability at the level you actually make decisions, and give you a senior person to call before decisions rather than after.

What is in scope

Accounting and CFO scope

Monthly bookkeeping and close

Closed early, reviewed by someone senior.

Owner compensation and distributions

Planned against cash and tax position.

Profitability reporting

By service, product, customer, or location.

Cash flow forecasting

A rolling 13-week view you can act on.

Tax planning coordinated with the books

Through the year, not in April.

Systems we work in
QuickBooks Online, Gusto, Bill.com, Ramp
What we report on
Gross margin, Operating margin, Weeks of cash on hand, Revenue per employee, Owner discretionary earnings
Tax and structure

Structure, reasonable comp, and QBI

Entity structure and the S corporation election drive owner tax outcomes more than almost any other decision, and reasonable compensation has to be defensible rather than convenient. The QBI deduction, accountable plan reimbursements, and retirement plan selection are all available levers. The savings come from coordinating the books with tax planning through the year instead of reconciling them in April.

Common questions

Questions we get asked

Are we too small for this?

If you're past roughly $1M in revenue and the books are affecting decisions, no. Below that, a good bookkeeper plus a tax preparer is often the right answer, and we'll tell you so.

Do you replace our bookkeeper?

Sometimes we replace, sometimes we supervise. Both work. We'll recommend based on what's actually in the books.

What does it cost?

A fixed monthly fee based on transaction volume and scope, quoted after we look at the books. No hourly billing.
